One Final Kindness Ltd provides home euthanasia services for companion animals across Mid, West and South Wales, within 90 minutes of Tregaron. For the purposes of UK data protection law, One Final Kindness Ltd is the data controller responsible for your personal information.

Information I collect

I may collect and process:

  • Your name, address, telephone number and email address.
  • Details about your pet, including their name, species, age, medical history, current condition and veterinary records where relevant.
  • Information relating to appointments, consent, payments, invoices and communications with you.
  • Details required to arrange cremation or aftercare services.
  • Information you provide through my website contact form, by email, telephone, text message or WhatsApp.
  • Limited technical information when you visit my website, such as cookies, device information and website usage data.

How I use your information:

I use your information to:

  • Respond to enquiries and arrange appointments.
  • Provide veterinary end-of-life care and maintain accurate clinical records.
  • Communicate with you before and after an appointment.
  • Arrange cremation, aftercare and the return of ashes where requested.
  • Process payments, issue invoices and maintain accounting records.
  • Meet my legal, regulatory, professional and insurance obligations.
  • Handle complaints, claims, queries or requests for records.
  • Maintain the security and effective operation of my website and business systems.


I will only use your personal information where we have a lawful basis to do so. This will usually be because it is necessary to provide the service you have requested, to meet legal or professional obligations, or because I have a legitimate business interest in running and protecting my services.

  • Crematoria or aftercare providers, where you have asked us to arrange cremation or the return of ashes.
  • Your regular veterinary practice or another veterinary professional, where this is relevant to your pet’s care or records.
  • Providers who support my business, such as practice-management systems, payment providers, accountants, website hosting providers, email providers and cloud-storage services.
  • Our professional advisers, insurers or legal representatives where required.
  • Regulatory bodies, law-enforcement agencies or other organisations where I am legally required to share information.
  • Your insurance company if you wish me to assist with a claim.

I will not sell your personal information or share it for unrelated marketing purposes.


I keep personal information only for as long as necessary for the purposes for which it was collected.

My usual retention periods are:

  • Clinical records, consent forms, euthanasia records and client communications: at least seven years from your pet’s last appointment.
  • Invoices, payment records and accounting information: normally six years, in line with tax and accounting requirements.
  • Website or general enquiries that do not lead to an appointment: normally up to 12 months.
  • Marketing information: until you withdraw your consent or ask me to stop contacting you. I may retain limited information to ensure that your preference is respected.

I may keep information for longer where necessary for an ongoing complaint, insurance matter, legal claim, investigation or regulatory requirement.


Keeping your information secure:

I take reasonable steps to protect your information from loss, misuse, unauthorised access, alteration or disclosure.

Information is held securely using appropriate passwords, access controls and secure systems. Access is limited to people who need it for legitimate business purposes.
